Open the app or visit karatehost.com/app, tap Sign Up, enter your email and password, and verify your email. You'll be set up as an Admin account with full control.

Admin has full control — create tournaments, manage students, add co-admins, delete data, and access all features. Co-Admin is assigned by the Admin to help run specific tatamis — they can score matches and update results but cannot delete data independently. Viewer can watch live match scores (requires tournament access purchase).

Yes. Admin accounts can be logged in on multiple devices simultaneously. Co-Admin accounts can also be used on any device. All data syncs in real time through the cloud.

Open the menu (☰) → Language in the app. Available languages are English, Hindi, Tamil, and Malayalam. The change takes effect immediately.

Yes. Open the menu (☰) → Training Course. 18 short lessons walk you through a whole tournament — details, categories, tatamis, adding 50 students, shuffling, late arrivals, merging pools, absentees, printing, running matches and reports. Tap Start practice mode and each lesson's ✨ button loads sample data so you can try everything safely; Finish practice clears it before your real event. Available in English, Hindi, Tamil and Malayalam.

Go to Students → Import. Download the template first, fill it with student data (Name, Belt, Age, Weight, Gender, Club), then tap Import Excel. Duplicate names are automatically detected and skipped. Free accounts can import up to 50 students total.

💻 Tip: the Excel import is much easier on a computer than on a phone — open karatehost.com/app on a laptop to fill and upload your roster in a couple of clicks.

The template includes: Name (required), Age, Belt, Weight (kg), Gender (Boys/Girls), Team/Club/School (club, dojo, or academy name), Kata (yes/no), Kumite (yes/no).

Use the sheet named Students. Other sheets (instructions) are ignored on import.

Go to Students and tap Renumber. This reassigns chest numbers in order (1, 2, 3…), filling any gaps caused by deleted students. A confirmation dialog appears before changes are made.

In Settings → General, enter host, venue, and date. Create tatamis (free plan: usually 1). Optionally use Import Demo Settings for a full brochure-style sample (ages, weight groups, belt groups) without changing tatamis. Then configure Kata and Kumite tabs, add students, and Shuffle.

A pool (set) is one competition group — for example Boys 11–12 Under 35 kg Below Brown (kumite) or Girls 13–14 Intermediate (kata). Each pool has members, AKA/AO bracket matches, and prizes. Unlimited pools per tournament after shuffle.

Open Settings → Generate — Kata and Kumite have their own tabs. Choose the tatamis, the pool size (we suggest 4 for Kata, 8 for Kumite), Tatami Distribution (Age-wise, or Equal split with Brown/Black belt pools last on every tatami) and Pool Order (Boys - Girls, Girls - Boys or 1 Girl - 1 Boy), then tap Shuffle & Generate. The app builds pools as:
• Kata = Gender + Age + Novice / Intermediate / Advanced
• Kumite = Gender + Age + weight group (range) + Below Brown / Brown & Above
AKA/AO sides are assigned for both events. Do not reshuffle after matches start.

Yes. Shuffle both events; pools appear under KATA and KUMITE on the Pools screen. Assign tatamis per event. Free users can still run both on one tatami (at different times).

Go to Settings → General → Merge Pools. Tap a pool, then pick another pool of the same event and gender to combine it with — a fresh bracket is built for the merged competitors. Age, weight, and belt group don't need to match; only pick pools you're fine pairing across those. Only pools with no match activity yet can be merged, and every merge is recorded in Undo History so you can reverse it later.

Go to Settings → General → Move / Edit Student. Tap the student's current pool, pick them from the list, then correct their name, gender, belt, age, or weight, and/or move them to another pool of the same event and gender. Chest numbers never change, everyone else keeps their pairing wherever possible, and a pool is only rebuilt when its bracket size actually has to change. Students can only be moved out of or into pools with no match activity yet.

Add the student normally from Student Roster → + Add (or tap the per-row "add to pool" icon on an existing student), and an Add to Pool window opens automatically. It suggests the best-fit Kata and/or Kumite pools — ranked by age/belt (and weight for Kumite), preferring pools with a free bye slot — or lets you create a brand-new pool on any tatami if nothing fits. The student is seated into that one pool only; every other pool is untouched. Absent students and pools whose matches have already started can't be picked. Every add (and any pool it creates) is recorded in Undo History.

Yes. Settings → General → Move Pool sends an entire pool to another tatami — handy for rebalancing when one court falls behind. Everyone assigned to that pool is notified, reports follow automatically, and a pool that already has matches in progress can't be moved.

Yes. Every Merge Pools, Move Pool, and Move/Edit Student action is logged in Settings → General → Undo History. Tap Undo on any entry to reverse it, as long as no match has started in the affected pools since.

Open a kumite pool match → START MATCH. Score AKA/AO with +1 / +2 / +3, fouls (1C–3C, HC, H, S), and Senshu. Declare the winner to advance. Viewers can open WATCH LIVE on the same match.

Yes. Each score control supports remove/decrement (long-press or minus where shown). You can adjust scores and fouls during an active match before declaring a winner.

Scores are saved locally in offline mode. An indicator appears when you're offline. All data syncs automatically to the cloud once connectivity is restored. No match data is lost.

Kata uses the same pool/bracket style as kumite. Open a kata pool → assign AKA and AO → START MATCH. One dual screen shows both sides. Pick the kata name from your Settings → Kata list, enter J1–J5 for each side, then declare the winner (or Finish by Score). Scores update live for viewers on the same screen.

WKF (drop highest and lowest of 5 judges, sum the middle 3), Total Sum (add all 5), or Flag System (no scores — judges show flags and you declare AKA or AO the winner). Set this in Settings → Kata → Scoring Format before the event.

Typical brochure setup: Novice (White, Yellow, Orange), Intermediate (Green, Blue, Purple), Advanced (Brown, Black). These are separate from kumite’s Below Brown / Brown & Above. Rank belt is on the student; AKA/AO is only the match side after shuffle.

Each weight category is a group (min–max range), not one class per kg. Flyer “−35 / −45 / +45” means Under 35, 35–45, and Over 45 for that age. Bands can be scoped by age and gender so boy/girl cuts match your brochure.

Go to Settings → General → Manage Co-Admins. Enter their name, email and a password, pick the tatami they will run, and tap Add Co-Admin. They log in with that email and password (Co-Admin role) and see only their tatami.

Co-admin can: Score matches, update kata scores, view all tournament data, manage their assigned tatami. Only Admin can: Delete any data, create/edit tournament structure, add/remove co-admins, access billing and settings, export reports.

Yes. Go to Settings → General → Viewer Privacy and tick any of Age, Weight, Name, Team Name, or Belt. Whatever you tick is hidden from viewers and team managers on pool cards, AKA/AO match boxes, and prize slots — Admin and Co-Admin always see every field regardless of these toggles. Hiding Name shows a "Chest #" stand-in instead so the card still reads.

In-app Reports: Tournament Summary, Student Roster, Bracket View, AKA/AO Sides (Kata and Kumite), Match Summary, Team Overall, Pool Print. Most export as print-ready PDF. Score sheets (blank judge forms) are printed from the Pools screen.

Open the menu (☰) → Account → Upgrade to Premium. Premium includes unlimited students and multiple tatamis (plus multiple co-admins and watermark-free PDF reports). Free plan is limited to 50 students and 1 tatami.

The Wallet lets you add points (via in-app purchase) and use them to unlock premium features or tournament viewing access. Points can also be transferred to other users. Check your balance in menu (☰) → Account → Wallet.

No. Premium is a one-time payment — it does not auto-renew. After 180 days it simply expires and you return to the free plan. You can repurchase anytime you need it for your next tournament.

On the login screen, tap Forgot Password. Enter your registered email address and we'll send a reset link. Check your spam folder if you don't see it within a few minutes.

Go to Settings → General, scroll to the bottom and tap Delete Account & Data. This permanently removes all your data including students, tournaments, and match history. This action cannot be undone. Alternatively email info@karatehost.com for assistance.
